# Viewing Products

# Access Products Page

  1. Click Products in the sidebar (cube icon)
  2. Products list page opens

# Product List Features

  • Search: Type to search products by name, SKU, or barcode
  • Filters: Filter by category, status (active/inactive)
  • Sort: Sort by name, price, date added
  • View: Grid view or list view

# Creating a Product

# Step 1: Open Product Form

  1. On Products page, click "Add Product" or "New Product" button
  2. Product form opens

# Step 2: Fill Basic Information

  1. Product Name (required): e.g., "Coffee - Large"
  2. Description (optional): Product description
  3. SKU (optional): Stock Keeping Unit, e.g., "COF-LRG-001"
  4. Barcode (optional): Barcode number (can be auto-generated)

# Step 3: Set Pricing

  1. Price (required): Selling price, e.g., 5.99
  2. Cost (optional): Purchase cost, e.g., 2.50
    • Used for profit calculations

# Step 4: Select Category

  1. Click Category dropdown
  2. Select existing category or
  3. Create new category (if option available)
  4. Categories help organize products

# Step 5: Add Product Image (Optional)

  1. Click "Upload Image" or image area
  2. Select image file from your computer
  3. Image is uploaded and displayed
  4. Recommended: Square images (e.g., 500x500px) work best

# Step 6: Set Product Status

  1. Active: Product appears in POS and is available for sale
  2. Inactive: Product is hidden from POS (temporarily disabled)

# Step 7: Save Product

  1. Review all information
  2. Click "Save" or "Create Product"
  3. Product is created and appears in list

# Editing a Product

# Modify Product

  1. Go to Products page
  2. Click on a product or click "Edit" button
  3. Make changes to any field
  4. Click "Save Changes"

# Quick Edit

Some product lists allow inline editing:

  • Click directly on price, name, etc.
  • Edit in place
  • Changes save automatically

# Product Categories

# Create Category

  1. When creating/editing product, click Category dropdown
  2. Look for "Create New Category" or "+" button
  3. Enter category name
  4. Save category

# Manage Categories

  1. Go to Products page
  2. Look for "Categories" menu or button
  3. Create, edit, or delete categories
  4. Categories help organize products for easier finding

# Barcode Management

# Add Barcode

  1. When creating/editing product
  2. Enter barcode in Barcode field
  3. Or click "Generate Barcode" (if available) to auto-generate

# Barcode Format

  • Common formats: EAN-13, UPC-A, Code 128
  • Enter numbers only (no spaces or dashes)
  • System will format automatically

# Using Barcode Scanner

  • Barcodes can be scanned at POS
  • Product is automatically found and added to cart
  • Ensure barcode matches product exactly

# Product Variants (If Available)

Some systems support product variants (sizes, colors):

  1. When creating product, look for "Variants" section
  2. Add variant options (e.g., Size: Small, Medium, Large)
  3. Set different prices for each variant
  4. Each variant can have separate stock

# Import/Export Products (If Available)

# Export Products

  1. Go to Products page
  2. Look for "Export" or "Download" button
  3. Choose format (CSV, Excel)
  4. File downloads with all product data

# Import Products

  1. Go to Products page
  2. Click "Import" button
  3. Download template (if available) to see required format
  4. Fill template with product data
  5. Upload file
  6. Review import preview
  7. Click "Import" to complete

Import Tips:

  • Use correct column headers
  • Required fields must be filled
  • Check for duplicate SKUs/barcodes
  • Validate data before importing

# Viewing Product Details

# Product Details Page

  1. Click on a product from the list
  2. Product details page opens showing:
    • All product information
    • Stock levels by warehouse
    • Sales history (if available)
    • Edit/Delete options

# Stock Information

On product details, you'll see:

  • Current Stock: Quantity in each warehouse
  • Low Stock Alert: Products below minimum quantity
  • Stock History: Stock movements (if available)

# Tips & Common Mistakes

# ✅ Do's

  • Use clear product names - Easy to find and identify
  • Set SKUs consistently - Use a naming pattern (e.g., CAT-ITEM-001)
  • Add product images - Helps identify products quickly
  • Organize with categories - Makes finding products easier
  • Set accurate prices - Double-check before saving

# ❌ Don'ts

  • Don't create duplicates - Search first before creating
  • Don't skip SKU/barcode - Makes inventory tracking easier
  • Don't forget to set cost - Needed for profit calculations
  • Don't use vague names - "Product 1" is not helpful
  • Don't forget to add stock - Products need stock to sell (if tracking inventory)

# How to Confirm It Worked

# Verify Product Created

  1. Product appears in list: Go to Products, see your product
  2. Product searchable: Search for product name, it appears
  3. Product in POS: Go to POS, product is available
  4. Details correct: Click product, verify all information is correct

# Verify Product Edited

  1. Go to product details
  2. See updated information
  3. Changes are saved and visible

# Verify Import/Export

  1. Export: File downloads with product data
  2. Import: Products appear in list after import
  3. Check data: Verify imported data is correct

# Troubleshooting

# Product Not Appearing in POS

Issue: Product created but not showing in POS

Solutions:

  1. Check status: Ensure product is "Active"
  2. Check category: Some POS may filter by category
  3. Refresh POS: Close and reopen POS page
  4. Check stock: If tracking inventory, ensure stock > 0

# Duplicate Products

Issue: Same product created multiple times

Solutions:

  1. Search before creating: Always search first
  2. Merge products: Contact administrator to merge duplicates
  3. Delete duplicates: Delete extra copies, keep one

# Barcode Not Working

Issue: Barcode doesn't scan at POS

Solutions:

  1. Check barcode format: Ensure correct format
  2. Verify barcode saved: Check product details, barcode is there
  3. Test scanner: Scan in notepad to test scanner
  4. Re-enter barcode: Delete and re-enter barcode
